Job Summary:
The Staffing Coordinator develops and maintains staffing schedules and all related records in the MWHC Staffing Office. Identifies potential staffing problems and resolves them as appropriate. Performs timekeeping functions including monitoring time and attendance and assists with payroll submission activities

Essential Functions and Responsibilities:

  • Collaborates with nursing unit leadership to assess staffing needs and allocate appropriate staffing resources. Partners with Hub Clinical Care Coordinator (Hub C3) to facilitate staffing huddles, address staffing needs and concerns, and develop the 12-hour staffing plan for the organization.
  • Assesses and allocates appropriate patient care staffing resources to meet organization-wide needs based on patient census and staffing ratios. Analyzes, allocates, and schedules staff based on skill level and qualifications to optimize the efficiency of Staffing Office resources.
  • Oversees and fills staffing vacancies due to Associate callouts across nursing departments as they are reported. Manages staffing decisions related to cancellations to minimize unnecessary use of incentivized staff. Proactively plans for additional staffing resources to support departments with Associates on extended leave (such as LOA, FMLA).
  • Acts as the primary liaison between contracted staffing vendors and hospital, coordinating organizational staffing needs with vendor resources.
  • Reviews, edits, and maintains Staffing Office department schedules to ensure shifts are balanced; communicates pertinent issues to department leadership. Determines Staffing Office Associate shift assignments for each shift, in accordance with hospital guidelines.
  • Manages daily operations and assignments for Patient Safety Attendants, including the Sitter Board and nightly rounds. Addresses immediate concerns, and reports findings to Staffing Office leadership.
  • Trains new Associates during department orientation; including badge activation, scheduling, staffing policies, and payroll procedures.
  • Conducts daily review and maintenance of Staffing Office assignments, timecards, and badging records in API payroll software, ensuring compliance with Mary Washington Healthcare Attendance Standards policy, and follows up on timecard entry errors and attendance issues.
  • Performs other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Minimum of one year of scheduling or staffing experience preferred.
  • Knowledge of healthcare industry staffing practices and regulations preferred.
  • Ability to prioritize and manage multiple tasks efficiently required.
  • Proficiency with Microsoft Office Suite and scheduling software required.
  • Strong attention to detail and problem-solving skills required.

Physical Requirements: Constant (67-100% of workday) sitting and use of arms and hands; occasional (0-33% of workday) standing, walking, bending, squatting; ability to lift, push, and pull up to 10 lbs.; auditory and visual skills.

Mental Requirements: Possesses critical thinking and analytical skills.  Ability to multi-task.  Ability to communicate effectively and collaborate with a multi-disciplinary team.
