Job Summary:The Laboratory Operations Assistant supports the daily administrative and logistical functions of the laboratory. This position ensures smooth laboratory operations through accurate patient data entry, specimen handling and send-outs, coordination with external lab vendors, and efficient communication processes. The Assistant also supports the dissemination and management of critical documents including pathology reports and faxes, while maintaining strict confidentiality and compliance with healthcare regulations.
Essential Functions & Responsibilities:
- Enters patient demographics, test orders, and other relevant information into the laboratory information system (LIS) or electronic health records (EHR).
- Prepares and packages specimens for send-out to reference and specialty laboratories.
- Ensures proper labeling, documentation, and adherence to transport guidelines.
- Tracks send-out specimens and follow up on results or delays.
- Receives and routes incoming faxes and correspondence.
- Sends pathology reports to providers, specialists, and facilities as directed.
- Liaises with external laboratory vendors for pickups, supplies, test inquiries, and service issues.
- Monitors turnaround times and escalate issues as needed.
- Assists laboratory staff with administrative duties and special projects.
- Maintains stock of supplies related to specimen transport and data entry.
- Other duties as assigned.
Required
- High school diploma or equivalent
- Minimum three years of experience in a healthcare or laboratory setting
- Proficiency in computer systems and office software (e.g., Microsoft Office, EHR/LIS platforms)
- Strong attention to detail and organizational skills
- Excellent written and verbal communication abilities
Preferred
- Knowledge of medical terminology
- Experience with pathology or clinical laboratory procedures
