Job Summary:

The Foundation Program & Events Assistant provides administrative and operational support to the Mary Washington Healthcare (MWHC) Foundation, helping to advance the organization's philanthropic initiatives, grantmaking activities, and special events. This position assists with day-to-day office operations, event logistics, communications, recordkeeping, and administrative processes.

Essential Functions & Responsibilities:


  • Provides administrative support to MWHC Foundation staff, including scheduling, correspondence, filing, and document preparation.
  • Assists with planning, coordinating, and supporting Foundation-sponsored events, meetings, and donor activities.
  • Prepares event materials and supplies, including organizing, transporting, setting up, and dismantling event equipment and displays.
  • Loads, unloads, and arranges supplies, promotional materials, and equipment for events as needed.
  • Maintains inventory of office and event supplies.
  • Assists with Foundation communications, including preparing mailings, donor acknowledgments, invitations, and other correspondence.
  • Supports grantmaking activities by assisting with application tracking, record maintenance, reporting, and related administrative tasks.
  • Maintains accurate electronic and paper records, databases, and filing systems.
  • Processes invoices, purchase requests, and other routine administrative documentation.
  • Provides excellent customer service to donors, volunteers, community partners, and internal staff.
  • Performs other duties as assigned.

Qualifications:


  • High school diploma is required.
  • Associates degree or completion of college coursework is preferred.
  • Minimum of one year of administrative, customer service, nonprofit, or office support experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Willingness to work occasional evenings or weekends in support of Foundation events.
  • Valid driver's license and reliable transportation preferred.

Physical Requirements: Constant (67-100% of workday) use of arms and hands; frequent (34-66% of workday) standing, walking, sitting, bending, squatting; ability to lift 35 lbs.; ability to push and pull 20 lbs.; auditory and visual skills

Mental Requirements: Possesses critical thinking and analytical skills.  Ability to multi-task.  Ability to communicate effectively and collaborate with a multi-disciplinary team.  

Environmental Requirements and Exposure Hazards: Potential risk of exposure to radiation and toxic chemicals.

Compensation Pay Range:

$18.07 - $23.49
